Accountable to supervise the daily operations of the Health Information Management Department with diversified duties which require knowledge in technical and managerial aspects, including but not limited to compliance, preparation, consulting, storage, reporting, and retrieval of patient medical records in a timely, cost-effective manner.

Assist manager with budget planning and development. Keep costs within budgetary guidelines. Monitor all department supplies and order supplies making the most economical choices. Develop and communicate with management ways to reduce expenses while maintaining or improving departmental performance. 10 %
• btain optimal results in work performance of employees through establishing, monitoring and updating productivity standards with individual measurable job duties. Monitor monthly productivity reports and work with staff on a routine basis to maintain and improve productivity standards and outcome measures to achieve departmental objectives and goals. Hold staff accountable for productivity standards and for the accurate and timely completion of their productivity reports. Encourage staff to report to management when edits are needed for their productivity reports to reflect changes in work flows and responsibilities. Develop action plans, including prioritization of work when departmental standards are not being met. Provide manager with monthly summary of department operations including variance analysis with action plans. 15 %

Work closely with the Health Information Management managers to develop and implement effective policies and/or procedures to enhance customer/staff satisfaction and improve working relationships between all CHMG Facilities. Prepare information in a concise manner before presenting to the manager for any decision(s). Effectively communicate with external department management whose areas may be impacted by any procedural changes made by the Health Information Management department. 10 %

Provide and/or arrange training and support as needed or when requested to Health Information Management staff members. This will include training on any policies, procedures, and systems used to support Health Information Management functions. Establish training tools and methods associated with each procedure to obtain optimal results. 10 %

Maintain cohesiveness through building positive team support for the Health Information Management Department. Encourage staff to become engaged in team building activities. Look for opportunities to celebrate. Praise and reward staff when goals are met or exceeded, for being involved in team building, for ideas and suggestions to improve workflows or procedures. 10 %

Monitor and hold staff accountable for upholding iCare standards, system/departmental policies and procedures which include performance, attendance, productivity standards, and behavioral. Perform all human resource responsibilities on direct reports for your assigned area in a concise, professional, fair and timely manner. This includes but is not limited to the following: posting new jobs, performing interviews, hiring, training, performing evaluations, corrective action processes which may include counseling and terminating employees, making journal entries on staff members to use as future reference material, creating or editing major work activities, and performing an annual review of each employees MWA percentage weights before the appraisal period begins. Review with manager all corrective action documents prior to sharing with staff member. 15 %

Consistently demonstrate excellent leadership skills by upholding iCare standards, maintaining a positive attitude, exhibiting professional written and verbal communication skills, meeting deadlines, continued training, actively listening, and following up with staff, customers and management in a timely manner. Make independent and appropriate decisions regarding immediate changes or new procedures within your areas of accountability when deemed necessary. Communicate changes or new procedures immediately to staff and manager. 10 %

Following system policies, HIPAA guidelines, and departmental procedures, screen attorney requests received for possible risk management cases; direct and/or facilitate the processing of scheduled on site audits/reviews; direct or facilitate the processing of amendment requests and patient dismissals. When made aware of HIPAA breaches, report them immediately to the Privacy Officer and submit or direct the submission of a detailed report using the Safety Zone Portal. Review and sign as custodian of records for certifications of copies that do not require notarization. Maintain current notary certification to notarize the signature of the custodian of records when needed. 20 %
