JOB DETAILS:
Exempt: No
FTE: 1.0 (40 hours/week)
Schedule: M-Th 8-6p Fri 8-1p
On Call: NO

JOB SUMMARY:

Manages the daily operation functions of the Outpatient Department. Responsible for the management of, but not limited to human resources, budgets, accommodation, and property facilities and records. Provides support for the practice manager, psychiatrists, therapists, and IOP Programs.

EDUCATION:

Required - Associates Degree Medical Assistant or Business Administration

Preferred - Bachelor's Degree in Business Administration

EXPERIENCE:

Required - 2 Years or more of medical office experience required. Appointment scheduling, medical office front desk, or patient care experience required An equivalent combination of education and experience may be considered

Preferred - 1 year or more of practice management experience

MAJOR WORK ACTIVITIES:

Assist with oversight of accounts receivable/payable/purchasing duties in conjunction with practice administrator 0 %

Attend meetings and trainings as required. 10 %

Demonstrate knowledge and comply with all CHMG policies and procedures. Must demonstrate knowledge of emergency procedures and assist with crisis situations that may arise within CHMG behavioral health outpatient clinics. 10 %

Develop proposals to improve efficiency and overall workflow to improve patient experience. 10 %

Directly provide administrative support functions as assigned including but not limited to medical records management, front desk, office management/coverage, and centralized scheduling functions 10 %

Driving and travel will be required 10 %

Ensure administrative staff, within assigned units/sites, performs efficiently, effectively, and in a manner that is consistent with CHMG values and operational processes. Ensure the accuracy of duties performed by office support staff. 15 %

Provide back up to other administrative staff as needed 10 %

Responsible for oversight of work queue and developing plan to reduce the number of errors made by front end staff. Generates reports from EPIC re: (wait times, staff productivity, # of cancelled/rescheduled appointments, etc) 10 %

Supervision and monitoring of daily functions performed by Administrative staff to ensure registration, insurance verification, and intake is completed as outlined in CHMG policy/procedures. Responsible for hiring, discipline, training, and performance appraisals 15 %
